Privacy Policy
How PropForge AI Inc. collects, uses, discloses and protects personal information in accordance with PIPEDA and applicable Canadian law.
1. Organization identity
This Privacy Policy describes the practices of PropForge AI Inc. ("PropForge AI," "we," "us," or "our"), a Canadian technology-services company that builds artificial intelligence and data tools for real-estate organizations. PropForge AI is a proptech studio — not a licensed real-estate brokerage, not a property listings portal, and not a data broker selling leads. We process information to deliver contracted engineering and analytics services, respond to enquiries, and operate this website responsibly.
2. Scope
This policy applies to personal information we collect through propforgeai.pro, email and phone communications, discovery workshops, project and retainer engagements, and related business activities. It does not cover third-party websites linked from our pages; those sites operate under their own policies.
When we process personal information on behalf of a client under a data processing agreement, the client's instructions and contract terms may supplement or override certain sections for that engagement. This policy still governs our overall accountability as an organization subject to PIPEDA.

4. What we collect
4.1 Website and enquiry data
When you submit our contact form or email us, we may collect your name, email address, phone number, organization name, message content, and any information you voluntarily provide about your proptech requirements. We also collect technical data such as IP address, browser type, device identifiers and pages visited when you use our website — subject to your cookie choices described in our Cookie Policy.
4.2 Client engagement data
During discovery, build and support phases, we may process business contact details for your team members, credentials for integrated systems (stored securely and rotated per contract), property and market datasets you provide or authorize us to access, model outputs, documentation, meeting notes, and billing information necessary to perform services.
4.3 What we do not collect for resale
We do not purchase or sell mailing lists of property owners, brokerage leads or consumer profiles. We do not operate a listings marketplace and therefore do not collect buyer or seller transaction data in that capacity.
5. Purposes of collection and use
We collect and use personal information for purposes that a reasonable person would consider appropriate, including:
- Responding to enquiries about proptech builds, retainers and partnerships;
- Scoping, delivering and supporting custom AI and data projects for real-estate clients;
- Training, evaluating and monitoring machine learning models as specified in contracts — with human review of client-facing outputs;
- Managing integrations with CRM, MLS and other systems you authorize;
- Processing payments and maintaining financial records;
- Complying with legal obligations and enforcing our agreements;
- Improving website security and, where consented, analytics performance;
- Communicating service updates, security notices and policy changes.
We will not use your personal information for materially different purposes without notice and, where required, fresh consent.
6. Legal bases and consent
Under PIPEDA, we rely on informed consent for most collections — for example, when you tick the consent checkbox on our contact form or sign a statement of work. Consent may be express or implied depending on context, but sensitive integrations and cross-border processing require clear agreement.
We may process information without consent where permitted by law — such as investigating security incidents, responding to lawful requests from authorities, or collecting information that is publicly available and specified by regulation. You may withdraw consent for non-essential processing by contacting the Privacy Officer, subject to legal or contractual limits on deletion.
7. Client property and market data
Property datasets, market feeds, portfolio records and related documents you provide remain your data. We use them solely to deliver contracted services — building automated valuation models, lead-scoring systems, document automation pipelines, portfolio dashboards and integrations. Model training occurs within agreed environments; we document retention, access roles and deletion schedules in project contracts.
Outputs such as valuation estimates, forecasts and scores are model-generated and intended as decision-support for your organization. They are not professional appraisals. We design workflows so qualified humans on your team or ours review outputs before external use, as described in our service terms.
8. Disclosure to third parties
We do not sell or rent personal information. We may disclose information to:
- Sub-processors assisting with cloud hosting, secure development tools, email delivery or analytics — bound by confidentiality and data-protection terms;
- Professional advisers (legal, accounting) under privilege where necessary;
- Integration partners (e.g., CRM or MLS vendors) when you authorize a connection;
- Authorities when required by valid legal process.

9. Cross-border processing
Some infrastructure and tooling providers may process data in the United States or other jurisdictions. When personal information leaves Canada, we assess risks, implement contractual safeguards, and disclose cross-border transfers in agreements. PIPEDA accountability remains with PropForge AI Inc. as the organization that transferred the information.
10. Retention
Enquiry records are retained up to twenty-four months unless a business relationship continues. Project artifacts follow contract schedules — typically six to thirty-six months after engagement end for operational logs, with models and dashboards handed off to clients per IP terms. Financial records follow Canadian tax retention requirements. Cookie consent choices persist six months, then the banner reappears. When retention expires, we delete or anonymize information where feasible.
11. Security
We implement administrative, technical and physical safeguards appropriate to the sensitivity of information — access controls, encryption in transit, segmented environments for client data, employee confidentiality obligations, and vendor review. No method is perfectly secure; we maintain incident response procedures and will notify affected parties and regulators when required by law.
12. Individual access and correction
You may request access to personal information we hold about you, challenge its accuracy, and request correction of inaccuracies. Submit requests to the Privacy Officer with sufficient detail to locate records. We respond within thirty days unless an extension is permitted, and we may charge a minimal fee for manifestly unfounded or excessive requests as allowed by PIPEDA.
13. Complaints
If you believe we handled your personal information improperly, contact our Privacy Officer first so we can investigate. If you remain unsatisfied, you may file a complaint with the Office of the Privacy Commissioner of Canada (OPC):

14. Cookies and similar technologies

15. Children
Our services target business professionals at real-estate organizations. We do not knowingly collect personal information from individuals under sixteen without parental authority. Contact us if you believe a minor submitted data through our forms.
16. Changes to this policy
We may update this Privacy Policy to reflect legal, technical or business changes. Material updates will be posted here with a revised "Last updated" date. Continued use of the website after changes constitutes notice; active clients receive direct communication when contractual notice is required.
17. Automated decision-making
PropForge AI builds automated valuation models, lead-scoring systems and document classification tools for clients. When we process personal information solely to deliver contracted services, automated outputs are reviewed by qualified humans before client-facing use — we do not make solely automated decisions about individuals that produce legal or similarly significant effects without human oversight. If that posture changes for a specific product, we will update this policy and obtain consent where required.
